GENERAL PROVISIONS Data & AI Warsaw Tech Summit

  1. These Detailed Terms and Conditions are in force as of 1 January 2025.
  2. These Detailed Terms and Conditions supplement the Terms and Conditions available on: https://evention.pl/regulamin-ogolny/
  3. All the terms used throughout these Detailed Terms and Conditions and defined in the Terms and Conditions shall have the meanings defined therein.
  4. Evention’s contact person in all matters relating to the Data & AI Warsaw Tech Summit is Weronika Warpas (weronika.warpas(at)evention.pl).
  5. The key defined terms and additional defined terms are:

  • Evention Conference Privacy Policy – defines how data is processed, including sending Notifications. The Evention Conference Privacy Policy is available on Privacy Policy
  • Terms and Conditions – General Terms and Conditions of Conferences organised by Evention,
  • Detailed Terms and Conditions – Detailed Terms and Conditions of the specific Conference,
  • Attendee / you – a natural person who has entered into an Agreement with the Organiser in relation to their economic activity or profession exercised,
  • Agreement – the agreement on the attendance to and performance of the Conference entered into by and between the Buyer and the Organiser at the moment of confirmation of the Registration on the principles defined in the Terms and Conditions.
  1. These Detailed Terms and Conditions govern the particular principles of participation in the Data & AI Warsaw Tech Summit organized by Evention and GetinData.
  2. Every Attendee shall read the Terms and Conditions and the Detailed Terms and Conditions before performing the Registration.
  3. In the event the Terms and Conditions and the Detailed Terms and Conditions would contain conflicting or mutually exclusive clauses, the Detailed Terms and Conditions shall prevail and the Terms and Conditions shall apply within the remaining scope.

 

DETAILED TERMS OF THE Data & AI Warsaw Tech Summit

  1. The Data & AI Warsaw Tech Summit is addressed to a limited group of Users.
  2. The number of Data & AI Warsaw Tech Summit Attendees is unlimited.
  3. The Data & AI Warsaw Tech Summit is an Conference organized as hybrid to the Agenda available on https://dataiwarsaw.tech/agenda/
  4. The Data & AI Warsaw Tech Summit is available exclusively Registration performed using the registration form available on https://dataiwarsaw.tech/registration/
  5. The online Registration is possible exclusively until 7 days before conference or until places are available. After this date, the registration will not be possible anymore. In exceptional cases please contact the Data & AI Warsaw Tech Summit contact person to possibly individually agree on the terms and conditions of participation in the Data & AI Warsaw Tech Summit.
  6. The Data & AI Warsaw Tech Summit can be attended only on the date and time defined in the Agenda.
  7. Attendance of the second day of Data & AI Warsaw Tech Summit is possible from any Attendee location where the Attendee has the relevant technical conditions defined in the Terms and Conditions and these Detailed Terms and Conditions. Ensuring the relevant location is the responsibility of the Attendee.
  8. The Data & AI Warsaw Tech Summit includes in its scope:
  • conducting the Data & AI Warsaw Tech Summit in conformance with the Agenda;
  • participation of the Speakers
  • screening of the multimedia presentations of the Data & AI Warsaw Tech Summit ;
  • possibility to take part in the discussions and to ask questions;
  • availability of the presentations made available by the Speakers;
  • availability of the recording of the Data & AI Warsaw Tech Summit for the 30 days following its occurrence.

  2. The List of Partners may be extended. The Attendees shall review the current List of Partners.

 

ADDITIONAL TECHNICAL REQUIREMENTS

  1. Logging in to the Data & AI Warsaw Tech Summit is possible using a web browser and an access link
  2. Conference Stream does not work on locked phone screen
  3. Attending the Data & AI Warsaw Tech Summit does not require having any additional IT tools other than a web browser
  4. The tool with the use of which the Data & AI Warsaw Tech Summit will be held may be changed, and in the event, such a change will be substantial, Evention shall inform the Attendees at least within 14 days prior to the Data & AI Warsaw Tech Summit. In the event an Attendee shall be informed about the change of the IT tool later than the above, they have the right to terminate the Agreement within 3 days. The other principles governing Agreement termination are defined in the Terms and Conditions and in the Detailed Terms and Conditions.
  5. The link for logging in to the Data & AI Warsaw Tech Summit shall be sent to the Attendees at the latest on the day before the Data & AI Warsaw Tech Summit.
  6. The Attendee is responsible for ensuring their technical conditions for participation in the Data & AI Warsaw Tech Summit defined in the Terms and Conditions and in the Detailed Terms and Conditions and for logging in to the Data & AI Warsaw Tech Summit with sufficient advance to allow possible rectification of any technical problems they may have on their side.
  7. The Organisers shall do their best to assist the Attendees with advice and help if they have problems with logging in to the Data & AI Warsaw Tech Summit ; however, Evention is not providing technical assistance to the Attendees.
  8. Evention declines any liability for the conditions and correctness of service provision by the IT tools providers on the Attendee’s side.

 

PRICE AND CONFIRMATION OF ATTENDANCE

  1. Participation in the Data & AI Warsaw Tech Summit conference is paid.
  2. The current price list is available at https://dataiwarsaw.tech/registration/
  3. Expressing consent to receive marketing materials from the Organizer and Partners is fully voluntary and does not constitute a condition for participation in the Data & AI Warsaw Tech Summit.
  4. By registering for the conference, participants or their organizations enter into a binding financial commitment to pay the conference fee. If payment based on a proforma invoice is not possible, the participant’s organization must provide a purchase order (PO) or accept a contractual order issued by the organizer. This obligation remains valid regardless of the actual attendance of the registered participant(s). Non-payment does not constitute a cancellation.
  5. Promotional codes are valid only within the specified time frame and cannot be combined with other offers unless explicitly stated. Group discounts apply to a minimum of five participants registered under a single invoice. Misuse of promotional codes may result in the withdrawal of the discount and require full payment.

 

RESIGNATION FROM Data & AI Warsaw Tech Summit

  1. The Participant has the right to withdraw from participation in the Data & AI Warsaw Tech Summit without incurring any costs up to 7 days before the conference date.
  2. To cancel, the Participant must send a resignation notice in accordance with the Terms and Conditions to the contact person.
  3. A resignation submitted after the deadline  above or in a manner not compliant with the Terms and Conditions does not exempt the Participant from covering the participation costs, regardless of whether the Participant attends the Conference.
  4. Non-payment of an invoice, including a proforma invoice, and absence from the Conference do not constitute a formal resignation from participation.

In all other cases, the general regulations contained in the Terms and Conditions shall apply.

 

PERSONAL DATA PROTECTION

  1. The correct delivery of the Data & AI Warsaw Tech Summit with the use of the Zoom tool necessitates the use of cookie files and other tools of similar nature. All the files related to the attendance at the Automation Week are used by Evention solely to for ensuring the Attendees’ attendance at the Data & AI Warsaw Tech Summit , its correct display, and course from the technical perspective.
  2. Other information about the use of the cookie files and other tools of similar nature by Evention is available in the Evention website Cookies Policy available on Privacy Policy
  3. Logging in to the Data & AI Warsaw Tech Summit  requires providing the following Personal Data: name/surname/job position / represented entity/e-mail address used for logging in / telephone number used for logging in.
  4. In the case of Attendees asking questions or taking part in discussions, also the following Personal Data will be published: the time of Attendee’s activeness / the question or answer content/likeness transmitted live.
  5. The course of the Data & AI Warsaw Tech Summit will be recorded using an audio/video tool (saved), and the recording will be available to all the Attendees.
  6. Fragments of recordings or pictures of the Data & AI Warsaw Tech Summit may be used for the promotion of the Data & AI Warsaw Tech Summit or other Organisers events after it has taken place.
  7. Independently of the Organisers, the Personal Data of the Attendees and the information obtained using the cookie files and other tools of similar nature are also processed by the provider of the tool used to deliver the Data & AI Warsaw Tech Summit.

 

FINAL PROVISIONS

  1. The Organiser makes the contents of the Detailed Terms and Conditions available prior to the entry into the Agreement.
  2. The Detailed Terms and Conditions may also be presented in another way upon individual request of an Attendee, Buyer, or a third party if there is a problem with displaying or reading the Detailed Terms and Conditions. For this purpose please contact the contact person nominated for the Data & AI Warsaw Tech Summit : Weronika Warpas, weronika.warpas@evention.pl
  3. The Organiser reserves the right to modify these Detailed Terms and Conditions.
  4. Any new terms and conditions shall apply to persons who have not yet registered for the Data & AI Warsaw Tech Summit or who have accepted the new terms and conditions.
  5.  The Organiser reserves the right to amend the agenda of the Data & AI Warsaw Tech Summit , as well as to cancel the Conference in the case of occurrence of random events beyond the control of the Organiser. In the event of cancellation of the Conference, the information to that effect shall be transmitted to the registered Attendees.
  6. All matters not dealt with in these Detailed Terms and Conditions and in the Terms and Conditions shall be governed by the applicable legal regulations of the Polish law.
  7. Should any of the provisions of these Detailed Terms and Conditions be amended or declared invalid by a final court ruling, the remaining provisions hereof shall remain valid and in full force.
  8. All disputes with the Organiser shall be resolved amicably in the first place and if unsuccessfully, by a court of jurisdiction territorially applicable to the location of the main establishment of the Organiser.
